I run multiple sites (around 4–5 locations) where vehicles are regularly transporting material for different clients, and I want a simple system (website, or website + mobile app) to record, track, and report this data.
For every vehicle trip, I need to enter and store the following fields:
Permit quantity (total quantity allowed under permit for that client/vehicle)
Actual quantity / units the vehicle is carrying (for example MT, CFT, etc.)
Price per unit (rate of the material supplied to that client)

1. Trip / vehicle entry module
For every vehicle trip, I need to enter and store the following fields:
Site name (which of my 4–5 sites)
Vehicle number
Entry date
Entry time
Client name
Material name (what material the vehicle is carrying)
Permit quantity (total quantity allowed under permit for that client/vehicle)
Actual quantity / units the vehicle is carrying (for example MT, CFT, etc.)
Price per unit (rate of the material supplied to that client)
Total sale amount for that trip (quantity × rate, preferably auto-calculated, but editable)
All the data from all sites should come into one central database. When I select a particular client name, the system should show:
How many vehicles (trips) that client has taken from me
Total quantity supplied to that client
Total permit quantity allocated to that client
Total value of material supplied to that client
If you add a receipts module later: payments received and current outstanding balance
2. Client statements
I should be able to generate a client-wise statement for any period showing:
Opening balance
Supplies (trip-wise total amount)
Receipts (if recorded)
Closing balance
3. Expenditure / cash book module
I need a separate “Expenditure” or “Expenses” section/tab where site staff can enter how they are spending cash at the site. Required fields:
Site name
Date
Amount received (cash issued by me or collected from sale of material)
Expense head (diesel, loading, labour, driver bata, repairs, miscellaneous, etc.)
Amount spent
Short description/remarks
Balance cash remaining at that site (auto-calculated if possible)
From this, I should be able to see:
Total cash given to each site
Total expenses by head (diesel, labour, etc.)
Closing cash balance at each site for any selected date range
A site-wise cash book (cash in, cash out, balance)
4. Reports and access
I am open to:
A web-based application (must be mobile-friendly), or
Web + Android app for easy daily data entry from site staff.
Please also include:
Admin panel to download reports (Excel/PDF) by client, by site, and by date range
Basic user roles (admin, site user)
Clarification whether the app will work offline at site and sync later, or only online.
Finally, please share:
What tech stack you plan to use
Approximate development time
Cost estimate
Any similar work you have done earlier
Whether you will also handle hosting, backups, and basic user training for my staff.
