I am looking for an expert in data organization, file management systems, and digital archiving to completely overhaul, index, and clean up a large repository of approximately 50,000 files.
Over time, files have accumulated across multiple overlapping domains—including active business operations (LLC management), legal/compliance documentation, technical project plans, infrastructure/networking data, and personal archives. I need a scalable, logical structure built from the ground up so that everything is searchable and easily accessible.
Taxonomy & Directory Design: Create a clean, visually mapped folder hierarchy (maximum 3 to 4 levels deep to prevent click fatigue).
Multi-Domain Categorization: Intelligently segment files into logical master buckets (e.g., Corporate Operations, Legal/Evidence, Technical/Infrastructure, Active Blueprints/Projects, and Historical Archives).

I am looking for an expert in data organization, file management systems, and digital archiving to completely overhaul, index, and clean up a large repository of approximately 50,000 files.
Over time, files have accumulated across multiple overlapping domains—including active business operations (LLC management), legal/compliance documentation, technical project plans, infrastructure/networking data, and personal archives. I need a scalable, logical structure built from the ground up so that everything is searchable and easily accessible.
Key Objectives:
Taxonomy & Directory Design: Create a clean, visually mapped folder hierarchy (maximum 3 to 4 levels deep to prevent click fatigue).
Multi-Domain Categorization: Intelligently segment files into logical master buckets (e.g., Corporate Operations, Legal/Evidence, Technical/Infrastructure, Active Blueprints/Projects, and Historical Archives).
Deduplication & Clutter Removal: Identify, flag, and consolidate duplicate files, corrupted documents, or orphaned versions.
Standardized Naming Conventions: Implement a strict, programmatic file-naming protocol (e.g., clear date integration, consistent casing, and robust version control rules).
Indexing/Tagging System: Recommend or implement a lightweight meta-tagging or tracking framework to keep the repository organized moving forward.
Ideal Freelancer Skillset:
Proven experience as a Digital Archivist, Data Architect, or Document Control Specialist.
Exceptional attention to detail and structural logic.
Bonus points: Ability to write or utilize automation scripts (e.g., Python using os and shutil libraries) to safely batch-rename, deduplicate, and route files based on the agreed-upon master plan. If you intend to use automation to expedite the 50k file processing, please mention this in your proposal.
Deliverables:
A visual Markdown or spreadsheet map of the proposed folder taxonomy for my approval before moving any files.
A clear file-mapping matrix showing where legacy folders will be routed.
