Project Overview
I run phone sales and consultation training for medspas and medical aesthetic practices. I have hundreds of pages of training notes, call scripts, objection-handling frameworks, real call transcripts, website content, and recordings from live training programs.
I want to turn that knowledge into an AI-powered training tool.
The platform should allow a user to practice phone calls in a realistic way. For example, a front desk employee at a medspa could log in, choose a scenario, and speak to an AI caller who is asking about Botox pricing, laser hair removal, filler, consultations, or financing.
The AI caller should respond naturally and challenge the rep the way real callers do. After the call, the app should grade the employee on how well they followed the phone training process.
Core Concept
The employee should be able to practice with AI voice callers such as:
Price shopper
Nervous first-time client
Busy caller in a hurry
Caller asking, “How much is Botox?”
Caller asking about laser hair removal
Caller comparing another clinic
Caller who says, “I need to think about it”
Caller who does not want to book
Caller asking for a service the clinic may not offer
Caller with objections about price, timing, trust, safety, or results
The AI should act like a real inbound caller, not just read a script. It should be able to respond differently based on what the employee says.
First Prototype Goal
For the first version, I do not need a fully polished app. I need a working prototype that proves the concept.
The prototype should include:
A simple login or user entry screen
A way to choose a call scenario
AI voice conversation between the user and an AI caller
Call transcript after the conversation
Basic scoring based on my checklist
Coaching feedback after the call
A simple dashboard or results page
Ability for admin/me to edit or add training scenarios
Example Scenario
Scenario: Botox Price Shopper
The AI caller says something like:
“Hi, how much is Botox?”
The employee should be trained not to just give price and end the call. They should:
Greet the caller professionally
Get the caller’s name
Ask what they are hoping to improve
Ask if they have had Botox before
Build value in the consultation/provider
Answer pricing in a controlled way
Handle objections
Attempt to book the consultation or appointment
The AI caller should push back with objections like:
“That’s more than the other place.”
“I just want the price.”
“I need to think about it.”
“I’m going to call around.”
“I don’t want to book yet.”
“Do you have any specials?”
After the call, the system should score the user.
Scoring Framework
The AI should score the employee based on a checklist similar to this:
Did they answer professionally?
Did they give their name?
Did they ask for the caller’s name?
Did they repeat the caller’s name naturally?
Did they ask what the caller was hoping to improve?
Did they ask at least 2 discovery questions before pricing?
Did they avoid dumping price too early?
Did they build value in the clinic/provider/consultation?
Did they address the caller’s concern?
Did they use a strong pivot instead of saying “we don’t do that”?
Did they try to book the consultation or appointment?
Did they handle objections?
Did they create a next step before ending the call?
Did they sound warm, confident, and in control?
The score could be simple at first, such as:
Score: 82/100
Strengths:
Great tone and good discovery questions.
Missed Opportunities:
You gave pricing too early and did not attempt a strong close.
Suggested Improvement:
Next time, ask what result the caller is hoping for before discussing price, then transition into booking the consultation.
Training Philosophy
The app should train users to think like this:
Every call is valuable.
The goal is not just to answer questions.
The goal is to guide the caller toward the right next step.
The front desk should not act like an information desk.
They should act like a trained patient care / sales guide.
The caller should feel heard, understood, and confident.
The employee should always try to book the appointment or create a follow-up step.
A key training idea is:
“If you had a million dollars to book this consultation, what would you do differently before letting the caller hang up?”
That means the AI should reward users for making multiple professional attempts to save the call, uncover the real objection, and create a next step.
Important Features for Prototype
1. AI Voice Roleplay
The user should speak out loud to the AI caller.
The AI caller should be realistic, not robotic. It should be able to interrupt slightly, sound uncertain, ask follow-up questions, and object naturally.

After each roleplay call, the system should show:

Whether they attempted to close
Whether they booked or created a next step
Eventually, I would like the platform to record audio too, but transcript and scoring are enough for the first version.
4. Admin / Manager Dashboard
At minimum, I need a simple dashboard showing:
User name
Scenario completed
Date completed
Score
Strengths
Missed opportunities
Coaching notes
Later, the dashboard should show:
Scores by employee
Scores by clinic/location
Progress over time
Common weaknesses
Training assignments
Certification levels
Leaderboards
Manager review notes
For the prototype, simple is fine.
5. Knowledge Base
Eventually, I want to upload my own training materials, including:
Training notes
Call scripts
Objection handling worksheets
Real call transcripts
Company website information
Treatment information
Clinic-specific FAQs

Pricing rules
Consultation flow
The AI should use this content to train and score the reps.
For the prototype, we can start with manually entered prompts and scripts. But I want to know how we would eventually support a knowledge base / RAG system where I can upload documents.
