Project overview

Seeking an experienced automation developer or small team to design and implement a workflow automation system for a healthcare clinic using Cliniko, Stripe, WhatsApp, and email as core tools. The goal is to reduce manual administrative workload and create consistent, reliable patient journeys from initial enquiry through follow-up care.

Existing tools

- Practice management: Cliniko (appointments, records, some billing)
- Payments: Stripe
- Communications: WhatsApp and email for patient contact
- Lab Sites Regenerus.com (currently no api)

Scope of work / core functional areas

You are invited to propose an overall architecture and phasing, but the solution must cover at least the following areas:

1. Patient intake and onboarding
- Structured intake workflow (form or equivalent) to capture all relevant patient details.
- Creation and/or updating of records in Cliniko based on submitted data.
- Routing/tagging logic to support downstream scheduling and clinician assignment.
- Handling of incomplete submissions, duplicates, and invalid data.

2. Messaging, FAQ, and basic triage
- Maintainable FAQ/knowledge base reflecting policies, appointment types, pricing, and common questions.
- Automated handling of recurring enquiries via WhatsApp and/or email, with human escalation paths.
- Ability to collect basic pre-visit information and pass it into intake or admin workflows.
- Use of AI/NLP is acceptable, provided behaviour can be configured and controlled.
- Should be able to cover all basics (anxious and AI hesitant user profiles) or upsell to a person covered call.

3. Scheduling, confirmations, and billing
- Enforcement of scheduling rules (appointment types, durations, clinician suitability, operational constraints) in Cliniko.
- Automated confirmations and reminders via WhatsApp/email.
- Automated invoice/payment workflows integrated with Cliniko and Stripe, including reminders for incomplete or overdue payments.

4. Lab monitoring and follow-up communication
- Tracking of lab-related milestones (orders, due dates, results).
- Automated reminders to complete labs, submit information, or book review appointments.
- Automated or semi-automated sending of follow-up materials (protocols, educational content, etc.) based on defined triggers.

5. Optional Feature: Vocal Phone Answering Service for FAQs
- Implementation of a vocal phone answering service using a language model capable of addressing FAQs without booking capabilities.

Technical and operational expectations
